Intro to FLOW Connect

Overview

Flow Connect is a Windows application that allows your Flow system to integrate with Verifone payment terminals (PDQs).
Once installed, Flow Connect enables communication between Flow and your Verifone device to process payments, refunds, and generate reports.

Install Flow Connect on your Windows machine (C: drive, with read/write permissions). Grant any necessary security permissions, start the application, and ensure it remains running during use.


1. Setting Up Your Verifone V200c+ Terminal (Wi-Fi Connection)

⚠️ Important:
The Wi-Fi connection type is only available on the Verifone V200c+ model.
The standard V200c does not support Wi-Fi connections.

This section explains how to connect your V200c+ terminal to Wi-Fi — including both visible and hidden networks.


A. Connecting to a Visible Wi-Fi Network

  1. Turn on the device by plugging it in.

  2. When the “Please log in user” screen appears, press the red cross (X).

  3. Select Option 3 – Supervisor.

  4. Enter the Supervisor PIN (default: 12345).

  5. Select Option 2 – Communication.

  6. Select Option 3 – Configuration.

    • This option may be off-screen — use the navigation buttons or press 3.

  7. Select Option 1 – Network Interface.

  8. Select Option 2 – Wi-Fi.

  9. Select Option 1 – Wi-Fi Scan (for visible networks).

    • If your network is hidden, refer to Connecting to a Hidden Network (see below).

  10. Use the * button to scroll up and # to scroll down.

  11. Highlight your chosen network and press the green circle button to select.

  12. Press Enter to add the network.

  13. Select Option 3 – Pre-Shared-Key (PSK).

  14. Enter your Wi-Fi password (network key).

    • Use multiple presses to switch between upper/lower case and numbers.

    • Once entered, press the green circle button.

  15. You’ll return to the previous screen. The PSK will now show as entered (displayed as * characters).

    • Press the right-hand navigation key to save.

  16. Once added successfully, select OK.


B. Configuring Network Settings (Optional: Static IP)

By default, the terminal will use DHCP (automatic network configuration).
If your setup requires a static IP, follow the steps below. Otherwise, skip to Step 28.

  1. Press the left navigation key to select No when prompted, then press the green circle key.

  2. Press the red cross (X) button once to return to the previous screen.

  3. Select Option 1 – Wi-Fi.

  4. Ensure your chosen network is highlighted, then press the green circle key.

  5. Highlight View/Edit and press the green circle key.

  6. Select Option 4 – IP Settings.

  7. Select Option 1 – IPv4.

  8. Select Option 2 – DHCP.

  9. Choose Option 1 – No to disable DHCP.

    Selecting "No" will enable additional configuration menu options.

  10. Select Option 3 – IP Address and enter your assigned static IP address.

    Each field must be 3 digits long (e.g., 192.168.001.010).

  11. Repeat this process for:

    • Subnet Mask

    • Gateway IP Address

    • DNS 1

  12. Once complete, press the red cross (X) twice.

  13. Press Save using the top-right navigation button.

  14. When “Network Saved” appears, press the green circle button.

  15. Select Yes to “Apply settings on interface?”

  16. Select Yes to “Interface Started.”

  17. Press the red cross (X) three times to return to the main screen.


C. Verifying the Connection

  1. Select Option 1 – Status.

  2. Select Option 1 – IP Addresses.

  3. Select Option 3 – Wi-Fi.

  4. Confirm the Status = Up.

    If the status is not “Up,” repeat the setup steps.

  5. Press the red cross (X) until you return to the login screen.

Your V200c+ Wi-Fi connection is now complete.


2. Connecting the Terminal to Flow Connect

Once your terminal is successfully connected to Wi-Fi and powered on, you can link it to Flow Connect.

Adding a New Terminal

  1. Open Flow Connect on your Windows machine.

  2. Click Add Terminal.

  3. Select Type: Verifone

  4. Enter the Local IP Address of the terminal (shown on the Verifone device).

  5. Enter the Ports in this order:

    • 25000

    • 25001
      (These may vary depending on terminal configuration.)

  6. Unless otherwise configured, the default PIN is usually 12345. This is normally communicated by Verifone.


Selecting a Terminal

  1. In Flow Connect, select the terminal you’ve added.

  2. Click Switch to this Terminal to activate it.

  3. Flow Connect will now establish communication with your PDQ terminal.


Logging in to the Terminal

  1. Click Login in Flow Connect.

  2. Enter your User ID and User PIN (created in the Verifone terminal setup).


3. Adding a PDQ to Your Flow Machine

  1. Navigate to the Facilities Module in Flow.

  2. Select the facility where you wish to add the PDQ.

  3. Under the Machine tab, either:

    • Create a new machine, or

    • Edit an existing one.

  4. Set the Terminal Type to V200c+

  5. Flow will detect the device automatically if it’s configured correctly in Flow Connect.

  6. When a machine session starts in FOH (Front of House), it will automatically connect to the PDQ.

Note: You do not need to click Link PDQ — this is a legacy function used for old PaymentSense terminals.


4. Taking Payments and Processing Refunds

Payments

  • Payments can be processed through Flow Connect, but most users do so within Flow FOH.

  • The FOH interface includes a larger, feature-rich payment modal.

Payment Options:

  • Customer Not Present: Take card payments over the phone.

  • Mail Payment: Similar to a Customer Not Present transaction, but recorded as a mail transaction.


Refunds

  • Refunds are initiated in Flow FOH.

  • You remain on the customer’s order page while the PDQ processes the refund.

  • You will not be redirected to the main FOH screen during refund processing.


5. Printing Reports from the Verifone V200c+

Flow Connect allows you to trigger various reports directly through the terminal:

Available Reports:

  • Reprint Customer Receipt

  • Reprint Merchant Receipt

  • Print Z Report

  • Print X Report

  • Print Txn Report

  • Print Q Report

  • Print Stored Offline Txn Report

  • Print System Information Report

  • Print LiveStore Report

  • Print Session Report

  • Print Summary Settlement Report

  • Print Detailed Settlement Report


6. Troubleshooting Tips

  • Wi-Fi not connecting?

    • Check the Wi-Fi password and ensure you’re connecting to the correct SSID.

    • Verify that Status = Up under the terminal’s IP Addresses → Wi-Fi menu.

    • Ensure the router allows new devices and doesn’t block DHCP requests.

  • Flow is not detecting the PDQ?

    • Confirm Flow Connect is running with admin permissions.

    • Verify that the IP address entered in Flow Connect matches the terminal’s local IP.

  • Forgot your Supervisor or User PIN?

    • Contact your Verifone administrator or help desk.
