Intro to Prompts

Summary

FLOW allows you to configure prompts that appear at the Front of House to notify staff about important events or customer-specific information.

These prompts help ensure staff stay informed and provide a better customer experience.

Example Use Cases

  • Announcing a new activity schedule to customers

  • Notifying staff of a customer’s birthday

  • Highlighting special events or promotions


Step-by-Step Guide

1. Navigate to Prompts

  1. From the Home Page, open the System Configuration module.

  2. Click on the Prompts submodule.

  3. Select Create New Prompt.

2. Enter Prompt Details

Complete the following fields:

  • Name – Internal name for reference

  • Title – The heading displayed to staff

  • Message – The content of the prompt

  • Alert Type – Select from the dropdown

  • Icon – Choose an icon from the dropdown

  • Animation – Select the display animation

  • Priority Order – Determines display order when multiple prompts are active

  • Frequency:

    • Show Once – Displays one time only

    • Show Always – Displays continuously when conditions are met

    • Dismissible – Can be manually dismissed by staff

      • If selecting dismissible, configure the 'Repeat After (Days)' setting.

  1. Click Create to save the prompt.

Managing Triggers

Once the prompt is created, you can define one or more triggers that control when it appears.

For example: Display the prompt when it is the customer’s birthday.

1. Add a Trigger

  1. Click Add New.

  2. Choose either:

    • A single Trigger, or

    • A Group of Triggers.

2. Configure Trigger Conditions

  1. Select the Trigger Type from the dropdown.

  2. Choose the conditional logic:

    • AND – All conditions must be met

    • OR – Any one condition must be met

    Example:

    • Customer’s birthday OR customer’s birthday is tomorrow

  3. Click Create to save the trigger.

  4. Click on 'Publish' (or delete if you change your mind and start again).

  5. Click on ok to confirm publication.

Best Practices

  • Use clear and concise titles for quick staff recognition.

  • Assign appropriate priority levels to avoid overwhelming users.

  • Use trigger groups when multiple conditions apply.

  • Regularly review and update prompts to keep information relevant.


Your prompt is now configured and will display automatically when its trigger conditions are met.
