This guide provides step-by-step instructions to connect your Technogym mywellness account to Flow and sync members and memberships automatically.
Time required: 15 minutes
User role: Administrator
Module: Integrations
Overview
The Technogym integration creates members in mywellness when customers join through Flow, keeps their details up to date, and syncs memberships with automatic mywellness group assignment for access and privileges.
Before You Start
The following will need to be completed before connecting Technogym:
| Prerequisite | Details |
|---|---|
| ✅ mywellness API credentials | API Key, integration username and password, provided by Technogym |
| ✅ Facility URL and Facility ID | Provided by Technogym for each club |
| ✅ mywellness groups | Create the groups you use for access and privileges (e.g. Peak, Towels) in mywellness before enabling membership sync |
| ✅ Administrator access in Flow | Required to manage integrations |
Steps
1. Connect Technogym in Flow
- Go to System Configuration > Integrations
- Select Technogym
- Click Connect
- API Key: Enter the API Key provided by Technogym
- Facility URL: Enter your club's facility URL (e.g. yourclubname)
- Facility ID: Enter your club's facility ID
- Username and Password: Enter the integration credentials provided by Technogym
- Click Connect
2. Enable User Sync
- Toggle on User Created
- Toggle on User Updated
Note: New customers are created in mywellness with their Flow customer ID as the external reference, so the two systems stay linked even if details change.
3. Enable Membership Sync
- Toggle on Membership Created
- Toggle on Membership Updated
Important: Group assignment is automatic and based on names. A membership called Peak Monthly in the membership group Peak assigns the member to the mywellness groups Peak_Monthly and Peak. Create matching groups in mywellness first; spaces in Flow names become underscores.
4. Enable Member Removal (optional)
- Toggle on User Deleted
What Data is Synced?
Members are matched by their Flow customer ID, shown as External Id in mywellness under Contact information > Data related to the facility.
When a customer is created in Flow, the member record is created with:
| Flow field | Where it appears in mywellness |
|---|---|
| First name, last name | Personal data > Name, Surname |
| Date of birth | Personal data > Date of birth |
| Gender | Personal data > Gender (male/female; other values are not sent) |
| Flow customer ID | Data related to the facility > External Id |
mywellness also sets some fields itself: Source shows "Third parties", Type starts as Member, Nickname defaults to the first name, and country/time zone follow the facility's settings.
When a customer is updated in Flow, the remaining contact details are synced:
| Flow field | Where it appears in mywellness |
|---|---|
| Email address | Personal data > Email |
| Mobile number | Personal data > Mobile phone |
| Address line 1, city, postcode | Personal data > Address, City, Postcode |
| Name, date of birth, gender | Updated if changed |
Note: Email, mobile and address appear after the customer's first update in Flow, not at creation.
When a membership is created or updated in Flow:
| Flow field | Where it appears in mywellness |
|---|---|
| Membership start and expiry dates | Data related to the facility > Membership > Start date, Expiry date |
| Membership and group names | Assigned Groups (automatic, names matched with underscores for spaces) |
When a membership is cancelled or expires, the mywellness membership shows EXPIRED/Not live, groups are removed automatically, and mywellness changes the member's Type to Ex member.
Note: Data flows one way, from Flow to mywellness. Changes made in mywellness are not sent back to Flow.
Result
New members appear in mywellness within a minute of being created in Flow, with active memberships showing as Live and their groups assigned.
Troubleshooting
A new member has not appeared in mywellness?
Check the User Created workflow is toggled on and the connection shows as active.
A member's email, mobile or address is blank in mywellness?
These fields sync when the customer record is next updated in Flow, not at creation. Edit and save the customer in Flow to push them.
A member's groups were not assigned?
The group must already exist in mywellness with a name matching the Flow membership or membership group name (spaces become underscores).
A membership shows as NotLive?
Memberships with a future start date show as NotLive in mywellness until the start date. This is expected behaviour.
Mobile numbers look wrong in mywellness?
mywellness formats numbers using your facility's country setting. Ask Technogym to confirm your facility is set to the correct country.
