Summary

During this development cycle, the teams have continued the work to progress Activities V2 (Templates & Schedules), along with the ability to cancel a membership in any status and an improvement to a defect on the activity roster.

Enhancements - With Release

Cancelling a Membership in Any Status

With this release, clients will now be able to process an immediate or future cancellation on memberships in any active status. Any memberships on a status of provisional, cancelled, expired or lapsed will have the Cancel Membership function greyed out as the membership will already be in a type of cancelled state.

To start with clients will need to review their Security Roles to enable this functionality for staff to process an immediate or future cancellation for a membership in any active status (e.g. pending, suspended). For the Security Roles you would like to update, you will need to edit the role and go to the Customers module section, locate and tick the tick box for Cancel customer's memberships immediately and select Update at the bottom of the screen.

At this point, staff with the appropriate access will be able to proceed with cancelling a recurring DD or fixed-term membership immediately or in the future for any active status. Please note that once a membership is cancelled, you are unable to revoke the cancellation from that membership. Please find a full demo below.

In addition, we will also be releasing some related changes to process of cancelling a membership. These are:

- When a membership is cancelled that has a pending freeze request associated that had not been approved or rejected at the time of cancellation, the pending freeze request will also now be auto-rejected as part of the cancellation. This will avoid any cases where a pending freeze request could be approved after a cancellation for that membership has been applied.

- If a membership has been set to cancel in the future and is therefore pending a cancellation, you can also now apply an immediate cancellation to this membership if it now needs to be cancelled sooner than originally applied.

Key Defect - With Release

Activity Roster Improvement

We will be releasing an improvement to the Activity Roster to correct a previously reported issue where the Customer ID column was showing the User ID for the customer rather than the Customer ID. Whilst the User ID that was showing was correct information, its main purpose is as an available customer reference for reporting and is not a searchable reference to locate a customers account with via the Customer or Front of House modules. The correct behaviour is to have the Customer ID in this column which is the reference you would see when on a customers account. Example below.

Customer ID is OP0015777
