Summary

During this development cycle, the teams have continued the work to progress Activities V2 (Templates & Schedules), along with starting the work for reactivating a DD membership on a suspended status. We have also completed client data imports (new onboarded client & new academic year import for an existing client), an enhancement for datasource refreshes & membership fee exporter along with several system defects.

 

Key Defects - Already Released

Cancelled Booking Email - Incorrect Time

Reported issue when a booking is cancelled via by staff in Flow (as opposed to a customer cancelling their booking online), the incorrect activity time is displayed in the email. This was defaulting to 12am however going forward the correct activity time will now be displayed

 

Membership Fee Importer - Cancelled & Active Membership

Reported issue that when importing membership fees, if a customer has multiple memberships and one has since been cancelled after the membership fees were exported and at least one membership remains as active, the new price fails to apply to the active membership as our importer validation was noting the customer as also having a cancelled membership and therefore failing to import any new price. Going forwards, the importer will now still apply the new price to any active memberships, regardless if there is a cancelled membership for that customer in the import data.

 

Enhancements - Already Released

Changes to Datasource Refreshes

The following datasources have now been changed to a daily refresh schedule

- Memberships

- Customers

- Activity Utilisation

- Bookings

In addition, the team are in the process of updating how the datasources refresh following recent reports of datasources failing to refresh.

 

Membership Statuses Filter - Membership Fee Exporter

For clients that operate an existing members price increase we have functionality to export members current DD fees, for clients to then review and determine what the new increased price will be. This export is then imported into Flow to update the DD fee amount. The membership fee exporter includes all memberships (accept for those that are cancelled) and therefore suspended DD memberships were included in this export. In preparation for when suspended DD memberships can be reactivated, we have needed to maintain including suspended memberships in the export. 

 

However as reviewing membership fees from the exporter to determine a new increased price is a manual process/requires excel manipulation, it would greatly reduce the review time if clients could have the choice to include only the membership statuses they want to review. From this we have introduced the option to multi select the membership statuses when exporting. Example below of the new UI:

 

 

Improved Membership Cancellation UI

For cases when staff are cancelling a customers membership and the customer has upcoming bookings that they may no longer be entitled to as a result of the cancellation, staff will now be presented with a screen to notify them that the customer has upcoming booking with a link to the customers booking tab. Example below:

Key Defects - With the Release

Usage Datasource and Returned Membership

Reports using the Usage Datasource, are currently displaying the incorrect Membership Type for a customer's usage. In the reported cases, where customers may have a history of previous memberships the report was returning one of these previous memberships rather than the current active membership. An improvement to this key defect will take effect with the 1.61 release. 

 

Customer Account & FOH - Active Membership UI

Reported defect were the Active Membership summary section on a customer account and also the memberships tab when returning a customer account via FOH, is showing all memberships a customer may have had. The correct behaviour is to not display any cancelled, suspended or expired memberships.
