What happens when you change a staff member's name or username?

Summary

Flow shows a staff member's name live, taken from their staff record. If you change a staff member's name or username, the change applies everywhere that person appears, including past activity. It does not only apply from the date of the change.

What changes

Where What happens
Audit page Past actions by that person show the new name.
Income report The salesperson's name shows the new name for all past sales.
Credits report "Issued by" and "refunded by" show the new name for all past credits and refunds.
Instructors (if the staff member is also an instructor) The instructor name changes on timetables, schedules, printed schedules, and anywhere customers see the instructor name.
Till reports (Till Transactions, End of Shift) These show the username. Changing the first or last name does not change them, but changing the username does.

What does not change

  • The wording stored in the detail of an audit change at the time it was made.
  • Instructor names for past sessions in the instructor utilisation report, which keep the name recorded at the time.

When it is fine to change a name

Correcting a spelling mistake or a genuine name change, where you are happy for the history to show the new name.

When to avoid it

Please do not rename a staff member to mark them as removed, for example, "to delete". It changes how that person appears in past audit history and reports, and for staff who are also instructors, it changes the instructor name customers see.

To remove a staff member, see How to remove a Staff Member?. If the Delete button is not available, contact OpenPlay Support.
