Summary
The Multi-Bookings feature in FLOW allows customers to book activities for other members within their Customer Groups.
Before using this feature, ensure that Customer Groups have been properly configured.
đź”— For setup instructions, refer to the Customer Groups Configuration Guide.
Using groups makes it easier to manage accounts, memberships, and bookings for close family members or friends — all from one place.
Group Roles and Permissions
Each group has different roles that determine what members can do both online and at the front of house.
| Role | Description | Permissions |
|---|---|---|
| Owner | The person who creates and owns the group. Owners can add members (as long as they aren’t part of another group) and manage all group activity. | Online + Front of House |
| Admin | Usually an adult member who can access and manage their own account but not others. | Front of House only |
| Dependant | Usually a child or non-managing member. Dependants have no online access; the Owner manages their bookings and memberships. | None |
⚠️ Important: Each group can have only one Owner, but multiple Admins and Dependants.
Booking Activities for Group Members
Step-by-Step Guide
At the Front of House
Search for the customer on the Dashboard.
Go to the Linked Accounts tab.
-
Select Load Customer on the account belonging to the Group Owner or Admin who is making the booking.
📝 Note: If you select a Dependant, nothing will appear in the Linked Accounts tab — Dependants do not have booking permissions.
Proceed with the booking as you normally would.
Online Booking
The Group Owner logs in to the Booking Website.
They click Book an Activity.
They select the activity you wish to book.
In the “Select User” dropdown, they choose the Admin or Dependant for whom the activity will be booked.
They continue with the standard booking process.
Once complete:
The booking will appear in both the Group Owner’s account and the selected member’s account.
On the Owner’s account, the booking will clearly display the name of the person it was made for to avoid confusion.
⚠️ Note: Only the Group Owner can make bookings on behalf of other group members.
Admins and Dependants cannot book activities for others.
