Configuring Overlapping Resource Activities

This guide explains how overlapping activities work in the system and how to configure schedules so that resource-based activities can overlap without causing double-bookings.


1. How Overlapping Resource Activities Work

The system allows you to schedule multiple activities for the same resource at the same time as long as the resource is not yet booked.
For example:

  • You can schedule Badminton and Tennis on Court 1 from 8:00–9:00 AM.

  • Once a customer books Badminton, the system treats the court as occupied.

  • As a result, Tennis automatically becomes unavailable for that time slot.

This gives you flexibility when building schedules while still preventing double-bookings.


2. Why This Only Applies to Resource Activities

Overlapping functionality is designed specifically for resource bookings, because:

  • Resource activities have a maximum capacity of 1.

  • When a customer books the activity, it is considered fully booked immediately.

  • This allows the system to correctly block out the resource and make overlapping activities unavailable.

Why classes and other multi-capacity activities do not behave this way

Activities like classes typically have a capacity greater than 1 (e.g., 20 spaces).
If a customer books one space:

  • The class is not considered fully booked.

  • Therefore, the system does not treat the resource as occupied.

  • This means a resource could appear available even though a class is already running on it.

This would lead to unintended double-bookings, so overlapping is not enabled for multi-capacity activities.


3. Enabling Overlapping Activities

To allow activities to overlap on the same resource, clients must configure this at the Resource schedule level.

When setting up or editing a schedule:

  1. Locate the setting for overlapping resource activities.

  2. Enable 'Allow overlaps' for the specific schedule.

  3. Save your changes.

Once this is enabled, any resource-based activities in that schedule can overlap, with the system automatically preventing double-bookings once a customer books one of them.


4. Recap

  • Overlaps work only for activities tied to resources with a capacity of 1 (Resource Schedules).

  • Classes and other multi-capacity activities cannot use overlaps because they don’t fully book until all spaces are filled.

  • To use overlapping activities, the feature must be turned on per schedule.
