Summary
When creating a schedule, the system automatically detects any activity clashes — that is, when two activities are scheduled at the same time and place.
When an occurrence is clashing (due to the location being busy, for example), and the clash is THEN resolved, we now have 'space' for that previously clashing activity to take place. As a safety measure, however, we do not automatically reinstate that activity to become bookable, as it may have been set up a long time ago.
Example:
You have Yoga scheduled in the studio every day at 9:00 AM.
You then create a HIIT class scheduled every day at 8:00 AM in the same studio — except Friday at 9:00 AM.
The system will flag the Friday 9:00 AM HIIT session as a clash, since Yoga is already booked at that time and location.
When you publish the HIIT schedule:
All 8:00 AM sessions will be bookable.
The Friday 9:00 AM session will not be bookable because of the clash with Yoga.
Later, if you cancel the Yoga class on Friday from the Facility Calendar (for example, due to the instructor being unavailable), the previously clashing HIIT session will automatically update:
It will change from red (clashing) to blue (available), indicating it’s now free to publish.
Step-by-Step Guide
Follow these steps to make the newly available session bookable:
Go to the Facility Calendar.
Locate the clashing day or session.Cancel the Original (Clashing) Activity.
For example, cancel the Yoga session causing the clash.Select the Previously Clashing Activity.
Click on the HIIT session that was previously marked as clashing (now showing in blue instead of red).
You’ll see the following message:
This activity session was excluded from being published with its original schedule, as there was a clash at the time of publishing. Since the clash has now been resolved, you can publish this session from here.
If you choose to publish:
This activity will become available to book via the platforms specified in the original schedule settings (Online, Front of House, or both).
The activity will follow the timings defined in the original schedule settings.
The session will not inherit future updates from the original schedule, but you can edit it directly from the Facility Calendar.
Click “Publish Activity Now.”
The activity will now be live and available for booking.
Important Notes
If you delete the original clashing activity (e.g., Yoga) to make room for another (e.g., HIIT), and then later cancel the new activity, the deleted one (Yoga) will not automatically return — since it was manually removed.
To restore it, you would need to manually re-add the Yoga class to the schedule.
