Scheduled payment memberships run for a fixed calendar period (for example, 1 June – 31 August). Whatever date the customer buys on, they pay the full fixed fee and the membership expires on the set end date — no pro-rata pricing applies.
The purchase flow is almost identical to a standard Fixed membership; the key difference is selecting the Scheduled payment type and choosing the correct term.
Good to know before you start:
- The Scheduled option only appears if the feature flag has been enabled for your site. If it's missing, contact your OpenPlay Account Manager via Zendesk.
- Scheduled memberships cannot be renewed, changed (including changing the home centre), or extended — they can only be cancelled. To continue after a term ends, the customer purchases a new term as a fresh sign-up.
Step-by-Step Guide
3. Access the Memberships Tab
- Click on the Memberships tab in the customer's profile.
4. Add a New Membership
- Click Add New Membership.
5. Select the Home Centre
- Choose the customer's Home Centre from the dropdown.
6. Select the Fixed Payment Type
7. Filter by Membership Categories (Optional)
- If necessary, filter the memberships by category to narrow down the options and select the preferred membership for the customer.
8. Select the Payment Type
- Select 'Scheduled' as the Payment Type.
9. Confirm Membership Selection
- Each Scheduled option displays its date range (e.g. 1 June – 31 August) and, if one has been set, a name — shown in place of the usual duration label. Check that |the corect term is selected.
- Click Choose this Membership to proceed.
10. Enter Additional Details (if applicable)
- Complete any additional fields required by the Data Collection Module and click Save and Continue.
11. Review Payment Details
- The payment screen will display the total amount due — the full fixed fee for the term, plus any joining or setup fees (if applicable).
- Note: The full fee is charged regardless of the purchase date. No pro-rata discount applies, even if part of the term has already passed.
- Add a promo code if you have one.
- Tick the box to agree to the Terms & Conditions, then click Save and Go to Payment (click on Continue if there is more than one set of Terms & Conditions to agree to).
12. Select Payment Method
- Choose the Payment Tender (e.g. card, cash).
13. Complete Payment
- Click Continue to process the payment.
14. Receipt Option
- Choose how the customer wishes to receive the receipt:
- No Receipt (if applicable)
15. Membership Activation
- The membership will typically activate immediately unless documentation is required (e.g. for student memberships) if the start date is today or in the past. If the start date is in the future, the status will be 'Future' and 'Awaiting start date'.
- If documents are needed, the customer can upload them via their online account, or you can do it for them at the Front of House.
Troubleshooting
No Scheduled options listed to choose from? Check that the option is Published and that its end date is in the future — options with a past end date are automatically hidden.
