Sprint 17 Notes

Notification Subscription feature

Staff can now subscribe to receive notifications for long-running actions (e.g. report exports).

  • Users can subscribe/unsubscribe per action.
  • Subscribed users will receive an email notification once the action completes.
  • Designed to reduce the need to keep the page open or refresh while waiting for results.

🔔 This feature lays the groundwork for future report and fee export notifications.

    Action Tracker UI Component

  • A new Action Tracker UI has been introduced across the FLOW interface.
  • Displays progress and status of long-running tasks such as report exports or bulk actions.
  • Persistent and visible across all pages, without disrupting core workflows.
  • Enables staff to monitor job progress in real time.

Take Failed Payment Without Charging Upcoming Cycle

Front-of-House (FOH) staff can now collect payments for failed debts independently of upcoming billing cycles:

  • Prevents unintended charges for future periods
  • Allows customers to clear arrears selectively

New Settings in Config

1. Settle Debt (New Feature)

FOH users can now collect payments specifically for outstanding debt, independent of regular billing cycles.

  • Customers can pay off existing arrears only
  • Prevents charges from being applied to future periods

2. Pay Off Debt via FOH (Instruction Change)

When creating a new payment instruction, FOH users can now choose to apply payments directly to existing debt.

  • Simplifies handling of overdue balances
  • Ensures accurate allocation of payments during new instruction setup

Important Note:

If the instruction has been cancelled and the previous month failed, and it is less than 10 days from the current month’s billing cycle, you cannot split payments.

Resolving previously clashing activities

Activity A gets published, Activity B gets created and published but clashes with A (for example because they’re in the same location), meaning that Activity B is not actually bookable, only A is visible and bookable. Now if A gets deleted/cancelled/moved, there is technically space for B to take place. However, by default we suppress that activity B from coming back to life without anybody taking explicit action as it could be an old, forgotten schedule/occurrence.

With this new feature enhancement, it is now possible to resolve those previous clashes and bring Activity B back via the Resource Timeline.

  1. Activities which were previously clashing but are now available for publishing, have a new activity block design on the resource timeline:

  2. This is the information provided when hovering over the activity block above:

3. Clicking on the activity block opens a slide out, showing activity details as well as an explanation of the status of this activity, an the consequences of resolving the previously clashing activity.

Defects

1) Custom Question Answers not pulling through into the order tab
This has now been resolved so all custom questions will show within the orders again. (v1)
2) Quick Buttons reordering
This issue prevented users from adjusting the order of their FOH quick buttons. It has now been fixed and users can adjust the order which will be reflected on FOH. If already adjusted orders had been created in the past- this will automatically change to the configured order.
3) Cannot add more than 8 resources to a schedule recurrence
UI issue that prevented more that 8 resources to be displayed when adding those a schedule, this has now been resolved. (V2)
4)Recurrences missing from schedule view
This prevented users from seeing recurrences on the schedule preview meaning they could not make any edits to specific recurrences. This has now been resolved. (V2)
