This guide explains how to efficiently cancel memberships for multiple members at once, using the Bulk Actions tool. This feature is particularly useful if, for example, one of your facilities closes permanently and there's no nearby alternative, allowing you to stop all membership payments for affected members in just a few simple steps.
Step-by-Step Guide
1. Access the Bulk Actions Module
- From the Home page, navigate to the Bulk Actions module.
2. Go to Customer Memberships
- Select Customer Memberships from the available options.
3. Select the Membership List to Cancel
You have two options: Created Lists or Imported Lists.
If you haven't created a list yet, please refer to this guide.
A. Created Lists
If you've already created a list of members whose memberships you want to cancel, follow these steps:
- On the Customer Memberships page, click My Lists on the right.
- Select the list you wish to apply the bulk action to, then click View Details.
Important: Before proceeding, double-check the data, as actions performed in bulk may be irreversible.
- In the Bulk Actions column on the right, select Cancel Memberships.
- Click Continue.
- Choose the Cancellation Reason from the dropdown menu, enter the Cancellation Date, and click Continue.
- Choose whether you want the cancellation to happen Immediately or on a specific date, then click Continue.
- Optionally, enter a Note (e.g., reason for the cancellation) and click Save and Continue.
- Review the details, then click Confirm Action.
Once confirmed, the memberships will be canceled in bulk.
B. Imported Lists
If you’ve imported a list of members:
- On the Customer Memberships page, click List Imports.
- Find the list you wish to cancel and click View Details.
- Follow the same steps outlined above for Created Lists.
4. Review Bulk Action History
You can view past bulk actions by following these steps:
- From the Bulk Actions page, go to Action Log.
- All previous actions, including cancellations, will be displayed for your reference.
Notes:
- Be cautious when performing bulk actions, as they are not be reversible.
- You can always check the status or details of past actions in the Action Log.
