Simplifying Bookings across multiple accounts

Managing a busy schedule just got a lot easier with creating & linking a NEW dependent online. Once enabled, your primary members can:

  • Create dependent accounts (e.g. for children)
  • View and manage dependent account details
  • Assign a relationship to each dependent (e.g. “child”)
  • Manage & create bookings for dependents, both online and via front-of-house

All communications are automatically routed to the primary account holder’s email, saving time and ensuring a seamless booking journey for families at your centre.

Debt Flexibility & Better Reporting

We know how important it is for your financial processes to align with your specific business rules. You can now define exactly how long debts remain active before they automatically expire, ensuring your ledger stays clean and compliant.

Additionally, we have introduced 'Refer a Friend' and 'Loyalty' as specific reasons for issuing credit. These new categories mean you can now track and report on your marketing and retention efforts with much greater precision.

Activities V2 Improvements:

We’ve refined the user experience within Activities V2 to speed up your team's workflow: 

  • The schedules table has been reorganised for better alignment with the creation flow.
  • You can now filter the schedules table by 'Booking type'.
  • The calendar header now shows explicit dates when creating recurring activities.
  • A new table view for recurrences alongside the calendar preview, making it easier to view and edit schedules with many recurrences
  • A new invoicing tab with multi-selection of occurrences, which lays the foundation for invoicing features and improvements for taking payments via front-of-house
  • Improved page layouts now provide more workspace and less clutter.
  • Improved feedback with the system now providing a clear prompt if a user attempts to select a customer for a Block booking without first choosing a front-of-house machine.

Expanded API: We have extended the Flow API to allow for the creation, viewing, and management of invoices for Block bookings, making it easier to sync your data with external systems.

Performance Improvements

We’ve been working hard behind the scenes to ensure Flow remains as reliable as possible. This month’s maintenance includes:

  • Booking Accuracy: Resolved an issue in Activities V1 where ad-hoc sessions could occasionally overlap with existing block bookings. Availability will now reflect correctly across all resources.
  • Reliable Attendance Tracking: Fixed a bug in Activities V2 that was preventing the consistent recording of 'no-shows'.
  • Accurate Receipts: Addressed an intermittent issue to ensure that digital receipts are always sent to and display the correct customer's email address.
  • Cleaner Booking App: Updated the Activities V2 bookings app to automatically hide categories that no longer have active or scheduled activities, ensuring your customers only see what is currently available.
