How to configure your Membership Settings?

Summary

This guide explains how to manage your Membership settings, such as specifying how many days after a membership expires a customer can renew without paying a joining fee. These settings can be configured at the Global, Group, or Facility level.

1. Accessing Membership Settings
   • From the Home Page, go to the System Configuration Module.
     
     
     
     
   • Click on Settings.
     
     
     
     
   • Select Manage Settings.
     
     
     
     
   • In the Category Drop-Down Menu, choose Memberships.
     
     
     
     
   • You will now see the list of Membership settings available for configuration.
     
     

Membership Settings Overview

Here is an overview of the different settings you can manage:

1. Allow Online Membership Cancellation

   • Description: Enables customers to cancel their membership online.

2. Allow Online Membership Changes

   • Description: Allows customers to change their membership details online.

3. API Key for Mapbox Map

   • Description: Enter the API key to enable the Mapbox map on the booking website.
     
     
     
     

4. Automatic Membership Eligibility Submission Approval Delay (days)

   • Description: Number of days before automatically approving a membership eligibility submission. Leave empty to disable this feature.

5. Renewal Grace Period After Expiry

   • Setting: Days after a membership expires during which a customer can renew without a joining fee.
   • Description: Set how many days after expiry customers can renew without paying a joining fee. (Also view 'How to Enable/Disable Membership Renewal')

6. Eligibility Document Submission Period

   • Setting: Days after a membership is created in which a customer must upload the relative eligibility document.
   • Description: Specify how many days after membership creation the customer has to upload eligibility documents.

7. Renewal Grace Period Before Expiry

   • Setting: Days before a membership expires during which a customer can renew without a joining fee.
   • Description: Define how many days before expiry a customer can renew without paying a joining fee. (also view'How to Enable/Disable Membership Renewal)

8. Automatic Membership Freeze Approval

   • Setting: Days before a membership freeze is automatically approved.
   • Description: Configure the number of days before a pending membership freeze request is automatically approved.

9. Advance Membership Change Period

   • Setting: Days in advance that a membership can be changed.
   • Description: Set how far in advance a customer can request a membership change.

10. Display Ineligible Membership Types

    • Description: Choose whether to display membership types that the customer is not eligible to purchase.

11. Enable Online Joining

    • Description: Determine whether online joining is enabled for customers.

12. Enable Search Venue Map

    • Description: Decide if the venue map should be available during searches.

13. Enable Venue Map for Online Joining

    • Description: Enable or disable the venue map when a customer joins online.

14. Maximum Days for Membership Freeze Application

    • Setting: Maximum days in advance that a membership freeze can be applied.
    • Description: Define the maximum time frame for requesting a membership freeze.

15. Membership Cancellation Compensation Message

    • Description: Message displayed when no compensation is given if cancellation ends access early.

16. Membership Cancellation Refusal Message

    • Description: Message shown when online membership cancellation is disabled.

17. Membership Change Credit Duration (days)

    • Description: Set the duration (in days) that a credit from a membership change remains valid.

18. Notice Period for Ongoing Membership Cancellation

    • Setting: Number of days as a notice period for cancelling an ongoing membership.
    • Description: Configure the notice period required to cancel a membership. Must be at least equal to the Direct Debit 'Payment Notice Period' (defaults to 10 working days).
      
      
      
      

19. Provisional Membership Abandonment Time

    • Setting: Time in minutes before a provisional membership is abandoned.
    • Description: Define how many minutes a provisional membership can remain inactive before it is abandoned.

20. Mapbox Style URL

    • Description: Provide the URL from Mapbox Studio to style the venue selection map.

21. Minimum Days for Membership Downgrade

    • Setting: Minimum number of days before a membership can downgrade.
    • Description: Set the minimum period before a customer can downgrade their membership.

22. Earliest Date for Membership Freeze

    • Setting: The soonest date that a customer can freeze their membership.
    • Description: Specify how soon (in days) a customer can freeze their membership.

23. Kiosk Home Page URL

    • Description: Provide an external home page URL for kiosk mode.

• Some settings can be overridden at the Group or Facility Level.
• The configuration level can be identified based on the options available (Global only, or Global/Group/Facility) as shown in the screenshots below.
