What happens when a user's data is deleted

What Moves+ removes and keeps when a member's data is deleted, how a deletion starts, and what it means for your reports.

User role: Administrator

Module: Moves+ admin > Users

Summary

A data deletion anonymises the member rather than erasing everything:

  • Their personal details are removed. Name, email and other identifying details are cleared or replaced.
  • Their activity and points history is kept, attached to an anonymised record.
  • They can no longer sign in. The account is closed.

Removing the activity history would change past totals and make old reports disagree with new ones. Anonymising means the person can no longer be identified, while your figures stay accurate.

Important: A data deletion cannot be undone. If someone only needs to stop using Moves+, deactivate them instead.

How a deletion starts

The member deletes their account in the app. This is the usual route. In Edit Profile > My Details > Account Management, they select Delete Account, confirm and enter their Moves+ password. See How do I log out or delete my account?

You request it for them. If a member asks you to delete their data, you can request it on the Customers page, under Personal Details > Delete customer data, with a delete date from tomorrow up to one month ahead. This option is off by default. Contact us if you need it. We are bringing these onto the user's page in the Users area.

Either way, the deletion is not instant. It runs in an overnight process once the request is due. Until then, the user's details are unchanged.

What is removed

The record is overwritten in place.

Field After deletion
First and last name Replaced with "Removed User"
Email address and username Replaced with a random value that does not work as an address
Password Replaced, so no one can sign in
Gender Set to unknown
Date of birth, phone number, title, description, unique reference, ethnicity, disability, country Cleared
Single sign-on link Cleared

These are deleted outright:

  • profile picture
  • tracker connection and sync files
  • timeline posts
  • monthly leaderboard history
  • badges (unlinked from the member)
  • friendships, friend requests, group invites and platform invites
  • survey responses
  • devices, notifications and sign-in tokens

What is kept

These stay attached to the anonymised record and still appear in reports:

  • points history: points earned, awarded and removed
  • daily activity totals
  • challenge participation and results
  • redeemed rewards
  • partner points

What this means for your reports

A report for a period before the deletion gives the same totals as before. The member shows as "Removed User" instead of by name, but their activity still counts towards your organisation's totals. Figures you have already reported do not change.

Monthly leaderboard history is removed, not anonymised. If you compare a past leaderboard before and after a deletion, the figures will differ.

Common questions

Does the member disappear from the Users list?
No. The record stays, named "Removed User", with the status Anonymised. This keeps the history attached to something.

Can they sign up again with the same email address?
Yes. The address is released, so the person can register again as a new member. They start from zero, with no access to their old points or history.

Can I delete several members' data at once?
Not in the dashboard. Contact us if you need this.

Does this meet a right to erasure request?
Anonymisation is a recognised approach where the remaining data can no longer be linked to a person. If you have a specific legal question about a request, speak to your own data protection officer, and contact us if you need anything beyond the standard process.
