How to cancel a membership with immediate effect on a customer account

Summary

There are many reasons why you might need to cancel a customer's membership immediately: Behavioural misconduct, Health & Safety Concerns, Violation of membership terms, etc.

FLOW allows you to process a future or immediate cancellation on any active (pending, future, suspended...) status.

Any Memberships on a status of 'Provisional', 'Expired', 'Cancelled' or 'Lapsed' will have the 'Cancel Membership' greyed out as the membership will already be cancelled or in a type of cancelled state.

You will first need to ensure you have correct permissions in your user role

For the security role you would like to update, you will need to 'edit' the role and go to the Customer's section and tick the box 'cancel the customer's membership immediately' and select 'Update' at the the bottom of the screen.

Step-by-Step Guide

  1. Search for the customer.
  2. Go to their Membership Tab.

  3. Click on 'Manage Membership' on the Membership you wish to cancel.

  4. Click on 'Cancel Membership'.

  5. Click on 'Cancel Immediately'.

  6. Select a reason for the cancellation.

  7. Click on 'Continue'.

  8. This screen will now show when the final billing date is. If the billing date is after the cancellation date, the customer will be paying for another month with no access to the facilities. You can click on 'Go Back' if you wish to change the cancellation date or 'Cancel Membership' if you are happy with the details.

  9. You will then see a pop up message confirming the cancellation has been successfully scheduled in the top right corner.

Important Note: After a membership is cancelled, the action is irreversible, and the cancellation cannot be undone.
