How to report on Membership debts

Summary

The Membership Debt Reporting feature in FLOW allows you to track, analyse, and manage outstanding membership debts efficiently.

By using the Aged Debtor data source, you can generate reports that provide full visibility of all unpaid balances — including Membership Debts, Late Cancellation Fees, and No-Show Penalties.

This helps you:

  • Monitor outstanding payments and identify trends in missed or overdue fees.

  • Take proactive action to recover revenue or contact affected members.

  • Maintain cleaner financial records and reduce manual reconciliation work.

Step-by-Step Guide

  1. From the Home Page, go to the Reporting Module.

  2. Click Create New Report.

  3. Enter a name for your report (e.g., Membership Debt Overview).

  4. Under Data Source, select Aged Debtor.

  5. Choose the Type of report — List or Time view.

  6. (Optional) Add a description to help others understand the report’s purpose.

  7. Select the folder where you’d like the report to be saved.

  8. Choose whether the report should be:

    • Private – visible only to you, or

    • Global – accessible to all users with reporting permissions.

  9. In the Query Builder, apply the following filter:

    • Field: Type

    • Condition: Equal

    • Value: Membership Debt

  10. Click Preview to view the results.

  11. You can choose to generate the Preview or General Data.

  12. The report will display the customers' names as well as the amount due.
