How to configure your Customer Notification Settings for Expiring Eligibility Documents

Customers receive reminder emails to upload a new eligibility document when their current one is nearing expiration. The timing of these notifications depends on how the document type is configured. This guide outlines the steps to configure document types to ensure timely notifications.


Step-by-Step Guide

1. Access the Memberships Module

  • From the Home Page, navigate to the Memberships Module.

2. Open Eligibility Management

  • Within the Memberships Module, select the Eligibility Management submodule.

3. Access Document Types

  • Click on the Document Type tab.

  • To modify an existing document type, click Edit next to the relevant document.

4. Configure Expiry and Notification Periods

  1. Ensure Valid Periods Are Set:

    • Verify that neither the Expiry Period nor the Expiry Warning Period is set to "Never".

  2. Define Appropriate Durations:

    • Expiry Period: Specifies when the document expires (e.g., 12 months from the upload date).
    • Expiry Warning Period: Determines how far in advance the customer is notified before the document expires.

    Example:

    • The document is valid for 12 months.
    • Set the Expiry Warning Period to 1 month to notify customers 30 days before the document expires.

5. Verify the Email Template

  • Ensure the eligibility_document_expiring_soon email template is correctly configured to send reminder emails.
