How to Create a Guest Pass Benefit

Summary

FLOW allows customers to create guest passes that they can share with friends and family. These passes can either be:

• Purchased as part of a package, or
• Included as a Membership Benefit.

This guide focuses on configuring Guest Passes as a Membership Benefit by following these steps:

Step-by-Step Guide

1. Creating a Guest Pass Pricing Option

1. From the Home Page, go to the Pricing Option Module.
   
   
   
    
2. Click on the Pricing Options submodule.
   
   
   
    
3. Click on Create New Pricing Option.
   
   
   
    
4. In the Type dropdown, select Guest Pass.
   
   
   
    
5. Fill in the required details:
   
   
   
    
   • Reference
   • Price
   • Friendly Name
   • Finance Code
      
6. Click Create.
   
    
7. (Optional) Click on Manage Settings to configure additional options.
   
   

Configuring Additional Settings

• General Tab: Automatically populated; modify details if needed. Enable Ask for Price to allow Front-of-House staff to enter a variable price. Click Save if any changes are made.
  
  
  
   
• Availability Tab: Configure restrictions such as start/end date, age, gender, memberships, etc. Click Save if any changes are made.
  
  
  
   
• Pricing Tab: Add additional pricing based on setting group, center, or global level.
  
  
  
   
• Adjustments Tab: Adjust pricing based on the customer's membership.
  
  
  
   
• Usage Tab: Configure usage type if needed.
  
  
  
   
• Access Control Tab: Define how many gates the customer needs to pass through to access the facility.
  
  

2. Creating a Guest Pass Benefit

1. From the Home Page, go to System Configuration.
   
   
   
    
2. Click on Benefits.
   
   
   
    
3. Click on Create New Benefit.
   
   
   
    
4. Fill in the required details:
   
   
   
    
   • Name
   • Where should this benefit apply? Select ALL Facilities. The pass can only be sent out for the home venue. Selecting either of the other 2 options will prevent the customer from seeing and being able to send the guest passes.
   • Description (Optional)
   • Uses
   • Frequency (Optional)
   • Applies to the following pricing options
5. Click Save.

3. Assigning the Guest Pass Benefit to a Membership

1. From the Home Page, go to the Memberships Module.
   
   
   
    
2. Click on Membership Types.
   
   
   
    
3. Search for the relevant membership and click Edit.
   
   
   
    
4. Navigate to the Advanced Tab.
   
   
   
    
5. In the Membership Benefits dropdown, select Guest Pass Benefits.
   
   
   
    
6. Click Update to save changes.

You have now successfully configured Guest Passes as a Membership Benefit in FLOW. Customers with eligible memberships can share guest passes with their friends and family according to the settings you’ve applied.
