How to create a Membership & Joining Fee Pricing Option?

Summary

This guide will walk you through creating Membership & Joining Fee Pricing Options, which is the first step when setting up a membership. You may need to create three pricing options: one for the joining fee (which can be set to 0 for free memberships or if you wish to wave the joining fee), one for a paid-in-full (yearly) price, and one for a recurring (monthly) price.

Step-by-Step guide

 

  1. From the home screen, select the 'Pricing Option' module.

  2. Select the 'Pricing Option' tab again

  1. Click on 'Create Pricing Option' in the top right of the page.

  2. Fill in the fields for your Pricing Option and Click 'Create'

  • Reference: Enter a unique identifier for this pricing option. While underscores (_) can replace spaces for standardization purposes, it’s not mandatory.

  • Price: The global price for this option, which can be adjusted later (refer to the manage pricing options article below).

  • Friendly Name: The name that customers will see when purchasing.

  • GL Code: An alphanumeric code assigned to an entry in the general ledger (e.g., GL Code 1010 for memberships).

  • Type: Select 'Membership' as the ticket type.

    5. Click on Manage Settings.

    General Tab

     

  • You can adjust the reference, Friendly Name, Finance Code, and Tax Options if needed.  

  • 'Ask for price' and 'Capture notes' functionalities are optional (you can find more information about these via these link).

  • 'Can be sold as Extra' is only for Point of Sale Pricing Options.

    Availability Tab

  • Date Restriction (optional): Set the 'Active Start Date' and 'Active End Date' if you want to restrict the availability to specific dates.

  • Age Restriction (optional): Define the age range by setting 'Age from' and 'Age to'.

  • Gender Restriction (optional) - Select the applicable options:
    • Female

    • Male
    • Non-Binary
    • Other
    • Prefer Not To Say
  • Activity Restriction (optional) 
    • If applicable, select 'Yes' to apply activity restrictions.
    • Choose the specific restriction from the dropdown.
    • Select the appropriate criteria from the dropdown.

  • Membership Restriction - Do not use this option for Membership Pricing Options, as it will prevent customers from purchasing them.

  • Once configured, click on 'Save'

Pricing Tab 
You can skip this tab unless you want to set a different price at the Facility or Setting Group level (e.g., a fitness class at one facility may be cheaper than another).

  • If needed:
    • From the centre drop-down, select the facility you wish to add a price to.

    • Add a price on facility level if applicable. For example a fitness class at one facility may be cheaper than another.

  • Fill in the details (Price, Type, Time Bands, Dates etc.) and click on 'Save'.
    • Price
    • Type: (not applicable to Membership Pricing Options)
    • Timeband: E.g., Peak, Off Peak (Optional)
    • Active Start Date (Optional)
    • Active end Date (Optional)

  • Repeat for other venues/groups if necessary.

Adjustment Tab

The Adjustment Tab allows you to create adjustments at the Facility, Group, or Global level, similar to the Pricing Tab.

  • To create an Adjustment, click on 'Create New Adjustment'.

  • Fill in the details accordingly and click on Create
    • Name (Optional)
    • Type: Choose from % Discount, Fixed Amount, Fixed Discount & Price Override

    • Value: Enter the discount value, e.g., a fixed amount (£2) or a percentage (5%).
    • Membership Group (Optional): Apply to specific membership groups or all.
    • Membership Type (Optional): Apply to specific memberships or all.
      Note: If you don't select at least a membership group, this adjustment will apply to all customers even non-members.
    • Timeband (Optional): Peak or Off-Peak (Optional).
    • Home Centre Override (Optional)
    • Active start date (Optional)
    • Active end date (Optional)
    • Usage Restrictions
      • 'Use this adjustment if the customer has a membership but is not at an eligible center in their membership': Enable if applicable.
      • This option will only allow the adjustment to qualify once per purchase of the item using this adjustment. All adjustments which have this option selected share this rule: Enable if applicable.

Important note: If a customer has multiple memberships offering different discounts for the same activity, the highest discount will apply—except when a price override is used, which will always take precedence, even if it offers a lesser discount.

The adjustment will appear in the Adjustments tab once created. You can create, edit, or delete adjustments as needed.

NB: To add adjustments to multiple pricing options at once, refer to our Bulk Add Adjustments 


Usage Tab

You can configure how many times a customer can use the booking by creating a 'Usage Type'.

  • Go to the Usage Tab.

    Please note that this tab will have a different display depending on whether or not you have already created some usage types.

    You can create your usage type from there by clicking on either 'Add usage types' or the 'Manage Types' button.

 Access Control Tab (can be ignored for Membership pricing options).
