How to create a Camps Pricing Option

Summary

FLOW includes an optional Camps and Courses module designed to help facilities manage structured training programs, seasonal activities, and recurring sessions.

By default, this module is disabled. If you would like it enabled, please submit a request via Zendesk, and our team will activate it for you.

This guide focuses on setting up the Camp Pricing Option. You can create 2 types of Camps pricing Options should you want to allow customers to join the camp even after it has started and pay a pro-rata price. In that case, you will need to create a pricing option for individual sessions on this camp and one for the whole camp.

🧠 What This Feature Supports

• Courses: Weekly sessions over a set period (e.g., a 12-week gymnastics program).

• Camps: One-off or short-term events (e.g., school holiday activity camps).

🏊 Example of Use Cases

• Summer Gymnastics Camp: A center runs 1 week Gymnastics Camp for kids. 

📌 Key Characteristics

✅ Short-term — typically 1 day to 1–2 weeks long
✅ Daily or multi-hour sessions — can be half-day or full-day
✅ Fun themes or special activities — like Swim Intensives, Summer Gymnastics Camp, or Martial Arts Bootcamps
✅ One-time booking and payment — you book the whole camp up front
✅ Great for extra practice, skill boosts, or trying new activities

Step-by-Step Guide

1. Navigate to Pricing Options

• From the Home page, go to the Pricing Options module
  
  
  
   

• Click ‘Pricing Options’ again to open the list
  
   

  
  
   

• Click ‘Create New Pricing Option’ (top right)
  
   

  

2. Create a Course Pricing Option

Fill in the following:

• Reference: Unique identifier (underscores _ can be used for standardization)

• Price: Cost for the Camp

• Friendly Name: What customers will see during booking

• GL Code: Used for accounting (e.g., 1003 for Course Booking income)

• Type: Choose Camps (Learn more about our different Pricing Options here)
  
   

   

💡 This creates a global-level price. You can customize further using the next steps.

⚙️ Manage Settings

Click ‘Manage Settings’ for additional configuration.

General Tab

• Edit: Reference, Friendly Name, GL Code, Tax Options

• Optional Settings:

  • Ask for Price

  • Capture Notes (Click here for more information)

  • Can be sold as Extra: Only use for POS pricing options.
    
    

✅ Click Save when done.

Availability Tab (Optional Settings)

• Date Restriction: Set when this pricing is valid (start and end dates)
  
  
  
   

• Age Restriction: Define min/max age (e.g., 5–15 years)
  
  
  
   

• Gender Restriction: Restrict access by gender if needed
  
  
  
   

• Customer Restriction: Require login to view/book
  
  
  
   

• Membership Restriction: Limit booking to certain membership types or Groups.
  
  
  
   

• Activity Restriction:

  • Select ‘Yes’ from dropdown
    
    
    
     

  • Choose from available waivers/inductions
    
    
    
     

  • Set criteria
    
    
    
     

  • Click Save

💲 Centre-Specific Pricing (Optional)

If pricing varies between centres:

1. Select the Setting Group or Facility
   
   
   
    

2. Click ‘Create New Price’
   
   
   
    

3. Enter:

   • Price

   • Type (optional): Member / Non-Member

   • Timebands (optional)

   • Active Start/End Dates (optional)
     
     
     

🔁 Repeat for other centres/groups
💡 Each price must differ by at least one factor (e.g., type or date range)
🧠 FLOW always displays the cheapest available price to customers

➕ Adjustments (Optional)

You can apply pricing adjustments at:

• Global

• Group

• Facility level

Adjustments can be based on:

• Membership

• Age

• Timebands

• Date ranges

🔁 Usage (Optional)

To control how many times a course can be used by creating a Usage Type:

1. Go to the Usage Tab
   Please note that this tab will have a different display depending on whether or not you have already created some usage types.

2. If no usage types exist, click ‘Add Usage Types’ or ‘Manage Types’

3. Select Global, Group, or Facility
   
    

   

4. Click ‘Create New Usage’

5. Choose usage Type and enter Quantity
   
    

   
    

6. Click Create

🎟️ Access Control (Optional)

This controls how often a customer can pass through a gate with one booking:

1. Open the Access Control Tab
   
    

   
   
    

2. Tick ‘Print Ticket’

3. Set Max Uses
   
    

    

   

🔁 Useful for facilities with multiple access gates
⚠️ If Max Uses > 1, this will override the Passback Rule
